Assigning a Standard User to an Organization Group

Client User Administrators (CUAs) are able to create and assign standard users to organization groups, and assign existing users to organization groups.

Organization Group Administrators (OGAs) are able to create new standard users and assign existing standard users to the organization groups that he or she (the OGA) belongs to. 

Users that are assigned to an organization group are able to view data and perform transactions for any of the organizations that are included in the organization group.

  1. Click Manage Users from the My Quick Links section on the Iron Mountain Connect homepage. The User Management screen opens.
  2. Create a new user or search for and select an existing Records Management user (links to both).

NOTE:  Organization Group Administrators (OGAs) are able to create and assign NEW users to organization groups.  They cannot assign existing users to organization groups.
  1. From within the Account section of the screen:
    1. Enter a unique username.

    2. Set the role to Standard User.

    3. Set the Password Reset option:

NOTE: If you are updating a user's status from Terminated or Locked Out to Active, Iron Mountain Connect automatically emails the manually-generated password to the email address on the user profile.

d. If necessary, check the Basic Records Management report group to provide access to records management reports.

e. Select the Records Management application.

  1. Click Save. The user is created; however, you must grant the user system permissions and organizational access to Iron Mountain Connect Records Management functionality.
  2. Assign Permissions: Grant the appropriate permissions.  Refer to Granting User Permissions.

NOTE: Organization Group Administrators (OGAs) are able to limited to assigning permissions that they have been granted access to.

  1. Assign organizational access:
    1. Click the To Organization Group radio button and select a single organization group.  Organization groups that you have access to display in the dropdown list.
    2. Click to expand the organization to display the individual customers, divisions and departments. 
    3. Select/deselect the appropriate organizations.    
  2. Click Save.
